1. Club Information and Venue Ownership
You represent that you are authorized to create this club account on behalf of the venue owner, operator, or managing team. You remain responsible for the accuracy of your club name, location, operating schedule, court count, pricing, and other listing details displayed in the system.
2. Booking, Scheduling, and Operations
Auventra Paddle Desk may be used to manage court reservations, walk-ins, player schedules, open play sessions, tournaments, training schedules, payments, merchandise, inventory, no-show monitoring, and activity logs. You agree to keep these records current so that players, staff, and reports reflect actual club operations.
3. Staff Access and Internal Controls
Your club controls who receives access to the dashboard, booking pages, reports, and venue settings. You are responsible for staff permissions, account sharing, password security, and the actions taken through accounts connected to your club.
4. Pricing, Payments, and Reporting
Your club retains control over court rates, item pricing, discounts, payment collection, and refund decisions. Your club receives fifteen (15) days of free booking system usage beginning only when its first successful booking is created. After the 15-day free period ends, the applicable booking system fee for client reservations will begin to apply based on the active Auventra Paddle Desk setup for your club.
You also acknowledge that the GCash number registered under your club payment method is the account intended to receive booking payments from your clients or patrons. System reports, totals, and activity summaries are based on the transactions and entries recorded by your club. You are responsible for reviewing those records for accuracy before using them for internal decisions, accounting, or customer communication.
5. Customer and Contact Data
If your club stores player names, phone numbers, emails, reservation details, or payment references in the system, you agree to handle that information according to applicable privacy obligations and internal business policies. You should only collect information needed to operate your club, manage bookings, and support customer service.
6. Service Use and Platform Protection
You agree not to use the system for misleading listings, unauthorized access, abusive activity, fraudulent transactions, or activity that may disrupt other users or connected services. Auventra Paddle Desk may pause access, request verification, or suspend a club setup if misuse, false data, or security concerns are detected.
7. Activation and Future Configuration
Submitting this setup does not guarantee immediate live activation of every module. Some tools may require additional configuration, review, onboarding, or agreement between your club and Auventra Systems. Your club may add or refine courts, schedules, business information, pricing, and staff settings after the initial setup.
8. System Fee Billing and Statement of Account
Once the booking system fee becomes active after the 15-day free period, your club agrees that a Statement of Account (SOA) may be issued for the monthly booking system fee. The SOA will be sent by PixelBay IT Solutions to the registered club email address provided during setup, and your club is responsible for receiving, reviewing, and settling the monthly booking system fee based on that SOA.
To help keep your club services active and uninterrupted, we kindly ask that billing concerns and payments be handled on time. If payment is significantly delayed, PixelBay IT Solutions may place the account or club under temporary suspension until the balance is settled or an approved arrangement is confirmed. Whenever possible, reasonable notice and coordination will be provided first so both parties can work toward a smooth resolution.
9. Communication and Good-Faith Coordination
Your club agrees to maintain an active and accessible registered club email address and contact number for activation notices, billing updates, support coordination, and operational concerns. In return, PixelBay IT Solutions will use those registered contact details in good faith for official communications related to your club account, platform support, and billing matters.
If a concern, discrepancy, or service issue arises, both parties agree to first communicate in good faith and allow reasonable time for clarification, verification, correction, or resolution before taking further action whenever practical.
10. Acceptance
By checking the agreement box and providing your signature, you confirm that you understand the setup purpose of this page, that you have authority to proceed, and that the information provided may be used to create and activate your club account within Auventra Paddle Desk.
